Plan Now, Save Time Later: Academic Year-End Prep for a Smooth Start

Ideal timing- June (4-6 weeks before term ends)

As the academic year nears its end, smart preparation now can make all the difference to how confident your team feels at the start of the new one. Especially for smaller independent and international schools, where admin teams are lean and responsibilities are broad, being proactive helps avoid stress later.

This blog is the first in our three-part Back to School academic series, guiding you through what to focus on now, what to check at the end of term, and how to hit the ground running at the start of next term.

🎓 What to Be Thinking About Now

  • School Dates and Terms: Have next year’s start and end dates been agreed? What about exam weeks, activity days, or parent events?
  • Curriculum and Structure Updates: Will next year include new subjects or changes in how you assess pupils? Now’s the time to confirm that with leadership.
  • Staffing Plans: Do you know which teachers are joining or leaving? Will there be any changes to teaching roles, groupings, or room allocations?

In many schools, these changes often aren’t formalised until late in the year, but your MIS needs that data ready ahead of time.

💡A Common Pitfall

Many schools forget to check their structure before copying it over to the next year, leading to duplicated work in August. If you’re using HUBmis, its rollover wizard copies your academic setup when you create a new year, so all you have to do is review and amend!
